NOTE: This feature is ONLY usable for clients that have a merchant account set up through one of SimplicityCollect’s approved processing vendors.

The Enterprise Debtor Portal is an optional feature of SimplicityCollect that allows debtors/customers to access basic information regarding their account via a secure website page. On this page, they will also be given options to make payments instantly, view their account balance, schedule payment plans, take a reduced settlement offer, add new contact information, and more.

 

Setup and Cost

You can enable the Enterprise Debtor Portal in Settings > Administrators > Company/CC Settings, on the bottom left-hand side of the page.

Upon Enabling, a message will be shown similar to this:

Important information:

  • While enabled, your normal monthly charges will include an additional fee for using the Enhanced Debtor Portal.
  • This default fee is $30.00/month, with the initial payment being a prorated charge based on your next monthly payment due date.
  • You must have a credit card selected when you accept to process the charge. If you don’t, you will be prompted to select one.
  • When the payment is successful, you will be able to turn the feature on and off without additional prorated charges, up to your next monthly payment due date.

 

Enterprise Debtor Portal Settings

Once enabled, you will unlock the Enterprise Debtor Portal Settings page. You can find this under Settings > Administrators > Enterprise Debtor Portal, where you can adjust several options:

Settlement Brackets: Settlement Brackets can be set up here. These will be a one-time settlement offer for the debtor whose balance falls within the bracket.

Adding Payment Plans: Debtors will have the ability to create a payment plan. They can make any minimum payment, or you can set a limit on how low it is allowed to be.

Allowing New Contact Information: You can enable the option for debtors to be able to add new contact information via the portal. The current phone numbers and addresses you have for them will be visible, but cannot be removed by them.

Utilizing PDCFlow: You can allow the use of your PDCFlow services (contact Simplicity Support for our help enabling it) so debtors have to sign and agree to their direct payments before they are processed.

Verification Method: You can require the last four digits of the debtor’s SSN (which the normal Payment Portal does) or alternatively, require the debtor’s zip code. One or the other is required for security purposes.

NOTE: If no zip code is set up, the box can be left blank when they log in to make a payment. If no SSN is on the file, the debtor will receive a message stating they must provide the company with one before continuing. (If you wish to allow them access without a SSN on file, contact Simplicity Support and we can adjust the security restrictions for you.)

Setting a Minimum Payment Plan Payment Amount: If you have enabled the option for the debtor to add a payment plan, you can set the smallest amount allowed per payment.

Mini-Miranda Settings: You can include your own Mini-Miranda on the portal.

 

Already included by default:

Direct Payments: Debtors can make direct payments that are posted instantly.

Convenience Fees: Debtors can be charged Convenience Fees based on your Convenience Fee settings.

 

Debtor or Customer Access

Debtors can access the Enhanced Debtor Portal by going to: https://app.simplicitycollect.com/EnhancedPaymentPortal.aspx

Important information:

  • Clicking the blue Debtor Pmt ID link on a debtor’s Claim Details page, or entering the URL above, will open the portal.
  • The debtor must first type in their payment ID, followed by either the SSN or zip code from their account (depending on your settings).

 

Once Debtors are Logged In

Upon a successful log in they will be presented with this screen and a Promotional Offer, if settlement brackets were set up originally:

If they receive a promotional offer for the settlement, they must either decline or accept before one-time payments or payment plans can be made.

If they accept, they will be taken to a page to make an immediate payment for the settlement amount. If they decline, they will be taken to the normal one-time payment and/or payment plan screen. There is not an option to view the promotional offer again if they decide to decline the offer, and they will have to contact your company by phone to make a settlement with an agent.

If they don’t have a promotional offer, OR if they have declined one, they will see this screen:

Important information:

  • The IP Address of whoever logs in to the Debtor Portal will be notated on the account’s Claim Details page automatically.
  • Notes will added automatically to the account’s Claim Details page regarding any payments or changes made via the Debtor Portal. Regular users will not have the ability to edit or delete these notes.
  • Once a successful payment has been made, it will immediately show on the debtor’s account under the Financials tab.

 

Using the Debtor Portal on Letters, Emails or Texts

URLs can be generated on your correspondence with your debtors. You can even automate a pre-created email or text to go out to debtors when certain events occur. As well, you can set the URL to pre-fill information, making it easier for the debtor. You can include just the link to the portal as text, or as a hyperlink for digital documents:

Along with this link, you will want to provide the debtor with their Debtor Payment ID so they can log in. When using a merge field on DocGen letter documents or as a merge field on your Custom Notifications for emails or text messages, you can include the following:

«debtor_payment_id»

NOTE: This will only work if you enter the merge field manually using the DocGen merge fields OR the custom notification fields. It will NOT work properly if you copy and paste the above text, as it is only text and not code to pre-populate the real number.

 

Including the Payment ID

If you wish to include the Payment ID, you can add it as a merge field on your DocGen letter documents, or as a merge field on your Custom Notifications for emails or text messages. An example of the URL is:

NOTE: This will only work if you enter the merge field manually using the DocGen merge fields OR the custom notification fields. It will NOT work properly if you copy and paste this URL, as the debtor payment ID is only text and not code to pre-populate the real number.

 

Including the Payment ID and SSN

If you wish to include the Payment ID and SSN, you can add the first as a merge field on your DocGen letter documents, or as a merge field on your Custom Notifications for emails or text messages. An example of the URL is:

https://app.simplicitycollect.com/EnhancedPaymentPortal.aspx?paymentid=«debtor_payment_id»&ssn=1234

The SSN field will only need to populate the last 4 digits. This is not currently available as a field; only the full SSN is. For this to work, you will need to physically provide the last 4 digits yourself. This method will be useful for situations where you need to contact a debtor personally to help walk them through the portal.

Adding an Option for the Debtor Portal to Your Website

We have a few options we can recommend for adding the Debtor Portal to your website:

Iframe Option

As an iframe, the portal is nested right in your website and debtors won’t be navigated anywhere else. You can do this with the link above. You can check with your website designer for information in creating a custom iframe for your website.

Alternatively, you can create a clickable link or button. When clicked, it will take debtors to Debtor Payment Portal login page. Some sample HTML you can use would be:
