Yes. SimplicityCollect is cloud based. It is completely hosted on secure servers and backed up daily. This makes SimplicityCollect compatible on all operating systems. How much does your software cost?

A one-time licensing fee is required prior to gaining access to SimplicityCollect. Then a small monthly fee is charged to cover hosting, maintenance, version updates, and customer support. Please refer to our pricing page for more informaiton.

Can you store documents in the software?

Yes. SimplicityCollect allows you to store as many files as you would like linked to individual case files. Any individual file cannot exceed 2.5 MB in size but most file types are accepted (PDF, Word, Excel, JPG, BMP, etc).

Will your software allow me to generate documents?

Yes. Our DocGen tool allows you the ability to create and upload your own custom templates right to the software. Once you have created and uploaded your templates, they can then be used to generate documentation for debtors in bulk. The SimplicityCollect DocGen tool uses MailMerge technology. We provide you the MailMerge data source to use and video tutorials on how to create and upload your custom template documents.

Do you have templates already included with your software that I can use to start collecting?

No. There are no pre-filled templates currently available with SimplicityCollect. We do however allow you the capability to create and upload any number of your own custom templates to use with the system.

Does your software integrate with credit bureaus or does it have skip tracing capabilities?

No. At this time SimplicityCollect does not have automatic credit bureau reporting or skip tracing capabilities. We do however, provide an extract tool that allows you to select data elements in the software and extract them into an excel format. This extract tool can be easily used to create an extract for credit bureaus, skip tracers, or letter fulfillment centers.

What is your client portal?

The client portal is a way for our clients to allow their clients the ability to view the status of cases that that have been referred to them. Clients are restricted to viewing and running reports only on cases that they have referred to you. Additionally, clients can enter new cases directly through the client portal.

Can my clients upload cases via this software?

Yes. Clients have access to uploading new case information that will then be viewable to SimplicityCollect users.

What kind of support do you have?

Online training videos and manuals are provided to all of our users. Beyond our published documentation, customers can get support in any aspect of the program in which they need help. We have an 800 number that can be called as well as a support email address that is monitored on and off regular business hours. We are committed to answering your questions, whether they are regarding basic tasks or technical questions about the program.

What kinds of reporting capabilities do you provide?

There is a wide array of legal, financial, client, trust accounting, collector performance, and quick reports built right into SimplicityCollect. Additionally, SimplicityCollect’s case file exporter tool allows you to extract virtually any data elements into an excel format that can then be used to create custom reports. If we don’t have it, we will see if we can get it for you.

What if you don’t have reports that I need, will you build them for me and does it cost additional?

Custom reports can be built based on client needs. If the report is similar to existing reports that we already have and won’t incur lots of programming time, we will add it for you. Reports requiring more time to develop will require additional custom work and may incur custom charges.

Are there any hidden fees in your software?

No. All costs are associated with the license fee charged up front and fees charged monthly. If a client’s database exceeds the 1GB size limit there is an extra $10/month charge that will be added for the extra resources required to maintain and back up the data. The majority of our clients never even approach this 1GB size mark. If you are storing thousands of large documents in your case files, you may exceed the 1GB of data space allocated for you.

What if I need custom work performed in order to make your software work for me?

Our team of developers are always looking to improve the software. If custom changes are needed, the development team will look into the potential for integrating those changes into a future version of the software. Additionally, custom changes that are needed immediately to the software will be discussed and bid out as custom work for the individual client. All custom work changes that are bid out are will be discussed with the client prior to billing or software changes being made.

How can I assign or manage cases in bulk?

Under the “Tools->Bulk Case Manager”, users can manage their collection cases in bulk. Cases can be filtered by “collector”, “client”, “update date”, and “status.” Once cases have been selected, actions such as assigning collectors, adding notes, changing the status, and generating documents in bulk can be performed by number of cases, percent of cases, or can be performed to all cases selected.

Will your software allow me to manage my collectors and see how they are doing?

Yes. You can review performance of each individual collector using the collection performance report built into the system.

Will your software allow me to manage and lock out user access to the software?

Yes. You decide who has access to the software. This functionality can be found under the “Settings->Collectors/Employee” submenu.

What if I have collectors that I don’t want to have access after they go home for the day … can I restrict their access?

Absolutely, you have complete control over collector access to the system.

How secure is my data with you?

We host your data on a premier server with exceptional security. Our servers are audited on an annual basis to insure they maintain their SAS70 security standing. Additionally, all data with the application is transmitted via HTTPS (SSL) to ensure that as data is passed between your location and our servers, the data in encrypted and secure. Your data is also backed up and monitored daily to cut down on the possibility of data loss.

What is SAS70 and how does it apply to you guys?

SAS70 is the collection industry standard for server and data security. These SAS70 requirements must be met for all applications or servers storing sensitive information like SSN and DOB.

Who hosts our data, do you guys do it?

Can my clients access their data?

Yes. There is an option for you to assign clients access to view their case(s). This can be managed by you on a client to client basis.

Can I install your software on my servers? If yes, is there a cost difference? If no, why not?

Yes. With a paid license you can host your own copy of the software on your own servers. Simplicity support staff will need administrative access to your servers 4 times a year to install maintenance upgrades and patches to the software. If you install our software on your own servers, you are then responsible for all data backup, server software and hardware upgrades, and IT costs associated with getting your network set up to use our software. We will ensure that the software is running on the server and properly upgraded.

If you do not have your data in an Excel of CSV format, we will work with you on a case-by-case basis to get your data into SimplicityCollect.

Will you guys convert it over for me?

We will assist you in setting up the data mappings and getting Excel formatted data in our system.

What if you guys go out of business tomorrow, how do I get my data, software, etc?

Licensed clients of the software have the option of bringing the software in-house to a personal server. This would provide you with the software, your case data, and all other files uploaded to SimplicityCollect.

What if I get sick of you guys and want to move to another software can I do that and how hard is it?

SimplicityCollect’s case file exporter tool allows you to export your data at anytime for import into another system or use by credit bureaus or skip tracers. We don’t hold your data hostage and never will. Our agreements are simply month to month so no long term commitment is required.

How long do I have to pay the lease or software maintenance fees?

As long as you use the software. The fees are required and cover maintenance, upgrades, support, and hosting of the software.

Do I get a physical disk of the software?

Can I run a copy of Simplicity on my servers and a backup copy on your servers at the same time?

Unfortunately this is not possible, there is no current way to sync data stored on your server with data stored in our environment in parallel. You must choose to either self-host the software or have us host and manage the data and servers in our environment for you.

Do you guys provide backup of my data and if so, how often?

Data backup is performed daily and moved to an offsite location for physical redundancy.

What are the minimum server specs for installing your software on my own servers?

If you choose to install SimplicityCollect on your own servers, our support team will provide you with server specifications. At a minimum, Windows Server 2008 release 2 is required as an operating system.

Can I move from my servers to your servers or vice versa at anytime? Is there a cost for doing this?

As long as you have paid the license fee and are not leasing the product, you can host your database on your own servers or move them to ours at anytime. for There is no additional cost for doing this.
